We need an awards person (orders and picks up awards for the end of the season) and a social event coordinator.
NOT SURE WHAT YOU SHOULD VOLUNTEER TO HELP WITH?
Here some descriptions of the different volunteer jobs. Some positions require training.
HEAD TIMER
Oversees watch check, specifies lane coverage, instructs timers and recorders on reporting order and procedure, and reminds timers to time any touch. The Head Timer also provides backup coverage for missed starts, provides extra coverage, and observes for any problems/consistent deviations from the norm of timers in a particular lane.
TIMER
Reports times to the Recorder, helps the Recorder get the swimmer’s name, alerts the Head Timer of any conditions making accurate timing difficult and immediately calls the Head Timer for backup, if a timing start is missed.
RECORDER
Ensures that each swimmer has a time recorded on a lane slip for his/her event. There is one Recorder per lane in a dual meet, with each team providing half of the Recorders. Time should be given using the full minutes, seconds, and hundredths of a second so that there are no assumptions of a time. The Recorder circles the middle or mean time on the lane slip. If only 2 times are given, no time is circled (the scorer will average the times). If there are 2 identical times, the Recorder circles both of them. The Recorder completes a lane slip for every heat of every event at a dual meet even if there is no swimmer in their lane. If there is no swimmer in a particular heat/event, write “No swimmer” in place of the name of the swimmer. If a swimmer is disqualified from an event, write “DQ” in large letters and make a slash across the lane slip. The Recorder gives each lane slip to the runner when they come to collect them. The Recorder keeps up with each heat/event. If there is a problem or question, the Recorder raises their hand to signal the referee of a problem.
CLERK OF COURSE
The head Clerk of Course is assigned by the home team and works with a Clerk of Course from the visiting team to ensure swimmers are swimming in the appropriate heat and lane. The Clerk of Course also helps to keep the meet flowing by keeping the benches full (i.e. swimmers waiting to compete) and directing swimmers to the appropriate lane. Clerk of Course also keeps track of swimmers and the events in which they are to swim (with the coaches maintaining responsibility for finding individual swimmers).
RUNNER
Runners collect lane slips after each heat and puts them in order from fastest to slowest. The Runner takes the slips to the computer operator at the head table. The runner posts results provided by the computer operator.
RIBBONS
The Ribbon Writer places the appropriate labels noting the result of the swimmer’s time and order placement on the 1st, 2nd, and 3rd place ribbons for their team. Ribbon Writer also files the ribbons in the folders of the swimmers.
HEAT RIBBONS
Stays on the pool deck and gives a ribbon to the winner of each heat as they exit the pool.
GRILL COOK
You cook the meat for the concessions. You should plan to check with the Concession Head around 9:00am to see what time they will need your help.
SNOWBALL MACHINE
Plan to start up the snowball machine around 9:30am. You prepare and serve snowballs. Snowballs cost $1 and you also collect the money. Run the machine for about 2 hours and then clean-up. The syrup dispensers need to be cleaned and the machine needs to be wiped down.
CONCESSIONS
If you are working concessions plan to be at the pool by 8am to help with set-up. This job is for the whole meet but you can take breaks. Clean-up help is appreciated.
REFEREE- Training required
The Referee is the controlling senior official at a meet and will have with them a copy of USA swim rules. The Referee will ensure all required officials are present and aware of their responsibilities and will ensure that take off judges are appointed at the start of the meet for relays. The Referee observes all situations affecting the meet and takes any actions required to keep the meet fair and efficient. The Referee receives all questions or protests from League representatives, issues decisions, and advises those involved of further protest options, if applicable. The Referee may not be the Stroke and Turn Judge for the meet, but may act as the Starter. The Referee will sweep all race finishes or appoint a sweeper.
ANNOUNCER
For home meets only. The announcer provides updates throughout the meet, using the sound system. They also set-up the sound system before the meet and then take it down after the meet. Training can be provided.
STARTER- Training Required
You announce each event and then wait for the referee to signal to you to start the heat.
STROKE AND TURN OFFICIAL- Training Required
The Stroke and Turn Judge shall ideally keep abreast of the swimmers during all strokes in a heat, except freestyle. The Judge is to ensure that the rules relating to the stroke being swum are followed. The Judge shall also ensure that when turning or finishing, the swimmer complies with the rules applicable to the specific stroke. The Judge shall know the USA rules for all strokes. The Judge shall report any violation at the end of the heat to the lane recorder along with the reason for the disqualification. Immediately thereafter, the Judge shall explain the reason for the disqualification to the swimmer.
LEAGUE REP- Training Required
You watch the meet and help resolve any issues with regards to officials' calls. You talk with the referee and/or the other team's league rep on behalf of parents and coaches.
